Voice Mail

Congratulations on choosing Voice Mail from Canby Telcom. You are only a few steps away from making your busy life a little simpler. Now you'll never have to worry again about missing important messages, because whether you're on the phone or on the go, Voice Mail keeps you connected.

Getting Started

The first time you call your mailbox, you will be greeted by Voice Mail's user tutorial. Voice prompts will guide you through the process of setting up your mailbox. You will be asked to do the following:

  1. Enter a temporary passcode, "1-2-3-4." This will allow you access into the Voice Mail system.
  2. Follow the step-by-step instructions to create a personal greeting. A suggested greeting:

    "Hello, you have reached Jeff and Gina. We are unable to take your call right now, so please leave a message at the sound of the tone and we will return your call as soon as possible."
  3. Record you name. A name MUST be recorded for identification purposes only. Callers will never hear your recorded name unless your mailbox is full.
  4. Enter a 4 to 10 digit personal security passcode. The numbers you choose should be easily remembered by you.

Note: You must complete the tutorial in order to begin using your mailbox. If you do not complete all steps, including your name, the system will not accept anything that has been previously recorded. When you have finished the tutorial, Voice Mail will notify you that your mailbox is ready for use.

Once you have completed the tutorial instructions, your mailbox will play any new messages you have waiting. You will be able to save, repeat, or delete each message.

Temporary Passcode

A temporary passcode has been programmed into the Voice Mail system. This passcode is "1-2-3-4." Once you have access to the system, you may choose any 4 to 10 digit personal security passcode.

Changing Your Mailbox Set Up

From your home or office phone:

Access your mailbox by dialing 503-266-MAIL (503-266-6245.) Note: if Line Blocking is activated on your phone line, press *82 prior to dialing your mailbox. If the system requests you to enter a mailbox number, that is your 7-digit phone number.

  1. Press the * key to activate the system.
  2. Enter your 4 to 10 digit passcode.
  3. Press:
    • 8 for user Options
    • 4 to change your Greeting
    • 6 to change your Name
    • 7 to change your Passcode

When away from home or the office :

Access your mailbox by dialing your phone number.

OR

Dial the message center at 503-266-8778, then enter your 7-digit home or office phone number (area code not applicable) and follow the recorded instructions.

Checking Your Messages

From any touch tone phone in the world:

There are two ways to access your mailbox when you're away from your phone:

  1. You can dial your home or office phone number and wait for your phone to automatically ring in and follow steps 3 through 6 below to retrieve messages.

    OR
  2. You can dial 503-266-8778 to access the message center. The message center will ask for your mailbox number, which is your 7-digit phone number. When you enter your mailbox through the message center, your phone does not ring. Once you have entered your 7-digit phone number, you will be sent to your mailbox. Follow steps 3 through 6 below to retrieve messages.
  3. Press * key to interrupt your greeting and retrieve any messages waiting.
  4. Enter your passcode.
  5. Press 7 to Play the current message. (If no new messages are waiting, press 7 to Review saved messages.)
  6. After playing each message, press 3 to Delete the message, press 5 to Keep the message, or press 8 to Skip the message.

Note: If you accidentally delete a message, press the * key immediately after deleting in order to retrieve it.

Shortcut codes when playing messages:

When listening to a message:

  • Press * to back up 5 seconds.
  • Press # to advance 5 seconds.
  • Press 1 to pause 30 seconds, then press any key to resume playing.
  • Press 9 to eXit the system.

Note: For your convenience, each message is time-stamped.

Pager Notification

Pager Notification pages you when a new message arrives in your mailbox. You will be paged every 30 minutes up to four times, or until you check new messages. Your direct dial mailbox number will appear on your pager.

If you have added the Voice Mail Pager Notification option to your mailbox, you will be automatically set up to be paged on the first new message you receive. Once you've checked your messages, you will be paged on the next new message to arrive in your mailbox. You can change this schedule by:

  1. Press 8 for User options.
  2. Press 2 for Call Schedule options.
  3. Press 7 to schedule Paging.
  4. Press 7 to Review your schedule.
  5. Press 3 to Enable or disable your current Pager Notification.
  6. Voice prompts will guide you through your changes.

Helpful Hints

If your mailbox is full (holding a total of 73 messages), callers will hear your recorded name followed by the phrase "the mailbox is full, please try again later" instead of your recorded greeting. The system will disconnect with the caller. If this happens, press (insert * button) immediately upon hearing your greeting in order to access your messages.

When you are leaving a message on Voice Mail, you can

Press 1 to bypass the greeting and begin your recording.

If you do not press your passcode correctly the first time, you must enter it correctly after the system prompts or the Voice Mail system will not let you in. After three incorrect tries, it will ask you to call back when you remember your passcode. This prevents hackers from taking over your mailbox or using it for toll fraud.

If you forget your passcode, call Canby Telcom at 503-266-8111 and a specialist will reset your temporary passcode to 1-2-3-4.

Press 9 immediately before hanging up to release your line. If you hang up without pressing 9, your line remains busy for 45 seconds and may ring you back.
